Backups
You can take a full backup of your data whenever you want. The file is your actual data, not a list of headings.
What a backup contains
The backup is a JSON file with the business's real data: customers, suppliers, products, warehouses, invoices and their lines, payments and their allocations to invoices.
It also holds stock movements (the source of product quantities), the chart of accounts, journal entries and lines, employees, branches and purchase orders.
Rows are written in a fixed order, so two backups of unchanged data are identical and can be compared.
Backup limits
Only the workspace owner can take a full backup, because it contains all of the business data.
It is an export, not a restore: there is currently no way to load it back into the app. It is for safekeeping, for your accountant, or for rebuilding by hand.
At most 5,000 rows per table go into one file. When a table has more, the file says exactly which table is incomplete — a partial backup is never silent.
Exports
Reports and lists can be exported to use elsewhere.
CSV export
Lists and reports have an export button that creates a CSV file you can open in Excel or Google Sheets.
Each customer's statement exports with opening balance, debit, credit and running balance.
The export contains the figures you see on screen, from the server; nothing is re-added in the browser.
- Open the page or report and, if needed, choose the date range.
- Press the export button.
- Open the CSV file in Excel or another program.
Offline data
In the desktop and mobile apps, work done without internet is kept on that device and synced once it reconnects.
Until it has synced, that work is not in the server backup — make sure devices have synced before taking one.
